Quick Answer to Uni-assist Application: 8 Simple Steps for Indian Students
A uni-assist application is how many, but not all, German universities check international applicants' documents. You register in My assist, enter your details, choose courses, pay the handling fee and upload PDF scans, including the digitally sealed APS certificate for Indian certificates. At the time of writing the fee is EUR 75 for the first course in a semester and EUR 30 for each additional one. uni-assist advises applying at least 8 weeks before the university's deadline and usually gives a result in 4 to 6 weeks. With a VPD, you apply to the university yourself.
"Do I apply to the university, or to uni-assist, or to both?" It is one of the first questions students ask once they have a shortlist of German programmes. The honest answer is that it depends on the university, and sometimes on the course. This guide explains how a uni-assist application works for Indian students, from checking whether you need one at all to paying the fees, uploading your APS certificate and tracking the result in My assist.
A uni-assist application is one part of a bigger plan. Once you have an admission letter, the next stage is the Germany student visa process, so keep both timelines in mind from the start.
What a Uni-assist Application Actually Is
uni-assist is a German organisation that checks international applicants' documents on behalf of universities. It looks at your certificates, converts your grades and confirms whether you meet the formal entry criteria set by the university. It does not decide who gets a place. That decision stays with the university.
According to uni-assist, it processes applications for around 160 German universities. That is a large number, but it is not every university, and even a member university can use it for some courses and not others. uni-assist itself says that the universities decide which courses and applicant groups it handles. So before you start any uni-assist application, open the programme's own admissions page and look for the words "apply via uni-assist" or "VPD".
One more point that surprises families. uni-assist states that it does not cooperate with commercial agencies to place applicants at German universities. Your uni-assist application is made in your own My assist account, in your own name. A counsellor can help you choose programmes and check your documents, but nobody can buy you a faster or easier route.
Uni-assist Application, Direct Route or VPD: Which One Applies to You
German universities use three broad routes for international applicants. The programme page tells you which one yours uses.

The VPD catches many students out. With a VPD, uni-assist does not send anything to the university. It evaluates your certificates, converts your grade to the German system and puts the VPD in your My assist inbox. You then have to upload it with your application on the university's own portal before that university's deadline. uni-assist says a VPD is valid for one year from its date of issue.
If your shortlist mixes all three routes, that is normal. Make a simple sheet with one row per programme and a column for the route, the deadline and the portal. It saves a lot of confusion in June.
Documents for a Uni-assist Application From India
uni-assist's country page for India lists what Indian applicants need. For a master's uni-assist application, plan for:
- APS certificate. uni-assist lists it as required for Indian certificates. Upload the digitally sealed APS certificate as the unchanged original file. Do not rename, merge or edit it. Older paper APS certificates issued before 23 April 2023 can be uploaded as a scan.
- Transcripts. The official overview of subjects and grades, such as your statement of marks or grade sheets.
- Degree certificate, if your studies are complete.
- Grading system of your university, showing the maximum grade and the minimum needed to pass.
- School leaving certificate, which uni-assist recommends including for master's applicants.
- Language certificate and other documents that the university asks for on its programme page.
uni-assist asks for scans of official certificates, meaning documents with a signature and stamp from the issuing institution, or a verification code. Scans must be complete, clearly legible and saved as PDF files. Documents that are not in English or German need a certified translation, uploaded together with the original language version.

Your Uni-assist Application in 8 Steps
This is the order we suggest for a smooth uni-assist application. It follows the steps uni-assist describes, with a little planning added at the front.
- Confirm the route for each programme. Check the university's page for uni-assist, VPD or direct application, plus its deadline for international applicants.
- Get your APS certificate. Without it, an Indian applicant's file is not complete.
- Prepare clean PDF scans. One file per document, complete, legible and named clearly in English or German, as uni-assist requests.
- Register in My assist. Create your account at my.uni-assist.de. One account can hold applications for several semesters, all under your applicant number.
- Fill in your details and educational history. Answer every question with no gaps. Small differences between the form and your certificates cause avoidable queries.
- Choose your courses. Use "Search courses of study" to find the university and programme. You can only do this once the university has activated applications in My assist.
- Submit, pay and upload. Submit the online form, pay the handling fees and upload each document once in your account.
- Track your status. uni-assist emails you when the result is in My assist. Keep checking for requests for missing documents.
The mistake we see most often is at step 6. A student builds the whole plan around one programme, then finds in April that it is a VPD course, or not on uni-assist at all. Check the route first, not last.

Uni-assist Application Fees and How to Pay
At the time of writing, uni-assist charges a handling fee per chosen course of study, per semester:

uni-assist says the cost is the same whether the course uses the standard route or VPD. The fee is paid regardless of the result of the check, and some universities cover it for applicants, which you will see in your selection list in My assist. Fees can change, so confirm the current amounts on the uni-assist website before you pay.
For payment, uni-assist accepts credit cards with 3D Secure (Visa or Mastercard) or a bank transfer to the personal IBAN it gives you. If you transfer from India, include your applicant number, name and date of birth in the payment details. International bank charges are your responsibility, so ask your bank for an "OUR" transfer so that the full amount arrives. For most students, the card is the simpler choice for a uni-assist application.

Deadlines and Processing Time
uni-assist's deadline is the university's deadline. Your online form and complete documents must be in My assist before it closes. uni-assist says that for many, but not all, courses, the deadline is often 15 July for the winter semester and 15 January for the summer semester. Many universities set earlier dates for particular courses, including many master's programmes, so treat those dates as a rough guide only.
On timing, uni-assist's advice is clear: apply as early as possible, and at least 8 weeks before the deadline, so there is time to tell you if something is missing. It says you will usually receive your evaluation result in 4 to 6 weeks from the day it receives your online form, and it works through applications in order of arrival. Its current processing time page gives shorter figures by region at the time of writing, but those move during the year.
If you are working backwards from a 15 July deadline, that means your uni-assist application should be complete by mid May at the latest. In practice, we plan for earlier still, because the APS certificate and translations usually take longer than students expect.
Who Can Manage It Alone, and Who Should Get Help
Plenty of students complete a uni-assist application on their own, and that is a perfectly good choice. You are likely to manage well alone if:
- your shortlist is short and every programme uses the same route;
- your APS certificate is already in hand;
- your documents are in English and your grading system is easy to show.
It is worth talking to a counsellor first if:
- you are unsure which master's programmes match your bachelor's subjects;
- your list mixes direct, uni-assist and VPD courses with different deadlines;
- you have backlogs, a gap or an unusual grading scale;
- you are also planning the visa, blocked account and accommodation in the same months.
