When to Start Your Study Abroad Document Checklist

Start earlier than feels necessary. Documents are rarely hard to get, but many of them sit in someone else's queue: a university registrar, a bank, a referee or a test provider. For a September 2027 intake, this is the rhythm we recommend for working through your study abroad document checklist.

  1. 12 to 15 months before: check your passport expiry, request transcripts from every institution you attended and book your English test.
  2. 10 to 12 months before: take GRE or GMAT if your programmes need it, ask referees for letters and start drafting your statement of purpose.
  3. 8 to 10 months before: submit applications and begin organising financial documents, so funds are in place well before any visa deadline.
  4. 4 to 6 months before: accept an offer, pay deposits and collect the country's key document, whether that is an I-20, CAS, LOA, CoE or APS certificate.
  5. 2 to 4 months before: apply for the visa, then book insurance, forex, accommodation and flights once it is approved.

Identity

  • Passport, valid well beyond your course end date. If it expires mid-course, renew it before you apply for admission, not after.
  • Passport-size photographs to each visa's own specification.
  • Aadhaar and PAN copies, which banks need for loans and forex.

Academic

  • Class 10 and Class 12 marksheets and passing certificates.
  • Semester-wise marksheets or a consolidated transcript. Many universities want transcripts in a sealed envelope from the registrar, which can take weeks.
  • Degree certificate, or a provisional certificate if convocation has not happened yet.
  • Backlog certificate, if a university asks for the number of attempts.

Tests

  • IELTS, PTE, TOEFL or Duolingo English Test report, whichever both the university and the visa route accept.
  • GRE or GMAT scores sent officially to each university, where required.

Application

  • Portfolio for design, architecture and media courses.

Money Papers: Where Most Files Go Wrong

Financial evidence causes more visa trouble than any other part of a study abroad document checklist. The papers themselves are simple:

  • Bank statements for you and each sponsor
  • Education loan sanction letter, signed and on letterhead
  • Sponsors' income tax returns, usually for the last few years
  • Sponsor affidavit stating who pays and their relationship to you
  • A CA report summarising assets and income, which many families use to tie everything together

The problem is rarely the amount. It is the story the documents tell. Here is a labelled illustrative example, with made-up figures, of the pattern we see most often.

Illustrative example (figures invented for explanation): a family needs to show Rs. 25 lakh. Two weeks before the visa application, Rs. 15 lakh arrives in the father's savings account from a relative, with no paperwork. On paper the balance is enough. To a visa officer, it looks borrowed for the occasion. The same Rs. 15 lakh backed by a gift deed, the relative's statement and ITRs, or kept in a fixed deposit for months beforehand, reads very differently.

Timing rules also differ by country. For a UK Student visa, for example, the money must be held for at least 28 days in a row, and the evidence must be dated no more than 31 days before you apply. If your family's funds are spread across several accounts, consolidate early rather than in the final month.

A few details matter more than they look. In Canada, students on master's or doctoral programmes at a public institution have not needed a PAL since 1 January 2026, but Quebec has its own rules. In Germany, some master's applicants with degrees in engineering, commerce, economics or management now also need a dMAT result as part of the APS file. And where a police certificate is needed from India, it must be a Police Clearance Certificate; Canada, for one, does not accept a character certificate.

Copies, Apostille and Translations

How a document is prepared can matter as much as whether it is on your study abroad document checklist at all.

  • Names first. Check every marksheet, certificate and bank record against your passport. If your passport has your full name with your father's name and a marksheet has only an initial, fix it now, usually with a notarised affidavit confirming both names are yours.
  • Copies. Most universities accept clear colour scans. Keep notarised copies ready for the few that ask, and never post originals unless the instructions say so.
  • Apostille only when asked. Apostille applies to documents for countries in the Hague Apostille Convention. Documents are first verified by the relevant authority, then submitted through the Ministry of External Affairs' outsourced agencies, not at the ministry counter. At the time of writing the MEA charges Rs. 50 per apostille sticker, plus agency charges; confirm current fees on the MEA website.
  • Translations. Anything issued in Gujarati, Hindi or another language needs a certified English translation.
